Course Registration, Cancellation & Transfer Policy

1. Payment & Registration

  • Payment in full is required to reserve a seat. Seats are not guaranteed until payment has been completed through the Hovn Portal.

  • Class sizes are limited to maintain an appropriate student-to-instructor ratio. Students are encouraged to register early.

  • Walk-in registrations on the day of class are not accepted. In-person registration may be completed prior to the class date through the Hovn Portal with staff assistance.

2. Refunds – Standard Courses

  • Refunds will be granted to students who cancel at least seven (7) days prior to the scheduled class date.

  • Refund requests must be submitted in writing to info@apexemsed.com.

3. Transfers – Standard Courses

  • Students may transfer to a different class at no additional cost if they notify Apex EMS Education at least 24 hours prior to the originally scheduled class.

  • Transfer requests must be made via email to info@apexemsed.com.

Transfer Limitations

  • Each student is permitted one (1) transfer per course type.

    • Example: A student registered for a BLS course on 2/20/2025 who transfers to 1/22/2025 may not transfer that BLS course again.

  • Once a transfer has been completed, no refunds will be granted for that registration.

4. Cancellations Less Than 24 Hours

  • If notice is provided less than 24 hours before the class start time:

    • The original class fee is forfeited.

    • The student may re-register for a future class at 50% off the current class fee.

  • Failure to attend without notice is considered a late cancellation and is subject to the same terms.

5. After Class Begins

  • Once a class has started, no transfers or refunds will be issued for any reason, including late arrival.

6. Blended Learning Requirements

  • Blended courses require that all assigned online coursework be completed PRIOR to attending the in-person skills session.

  • Access to online coursework will be provided via email after registration is completed.

  • Students who arrive without proof of completed online training will be dismissed and must re-register with full payment.

7. Late Arrival Policy

  • Blended Classes: Students arriving more than 5 minutes late will not be admitted.

  • Full-Day Classes: Students arriving more than 15 minutes late will not be admitted.

  • Late students must register and pay in full for another class date.

8. Virtual Class Kits

  • All virtual class kits and mailed course materials are non-refundable once issued.

9. Course Cancellation by Apex EMS Education

  • Apex EMS Education, LLC reserves the right to cancel any course due to low enrollment, instructor illness, facility issues, or other unforeseen circumstances.

  • Students will receive no less than 24 hours’ notice when possible and will be offered:

    • Transfer to another available class, or

    • A full refund.

10. Weather & Emergency Closures

  • Apex EMS Education follows local school district closures as a guideline but retains independent discretion to hold or cancel classes.

  • If a class is held and a student chooses not to attend, the registration is forfeited and a new registration will be required.

  • All standard cancellation and transfer fees remain in effect during weather events.

11. Accreditation Bodies

  • Apex EMS Education provides training through ARC, AHA, HSI, and NAEMT programs.

  • Students are responsible for meeting all prerequisites and requirements specific to the credentialing organization.
